Manufacturing and wholesale trading, closely connected
Orbiz Creativez operates across manufacturing and wholesale trading, with business processes spanning sales, purchasing, inventory, production, accounting, taxation, and e-commerce.
The complexity was not limited to individual departments. These operations were closely connected, a change in one area could affect inventory, manufacturing, accounting, intercompany transactions, or customer orders.
Orbiz needed an ERP environment capable of bringing these moving parts together while accommodating the business-specific workflows required by its operations.
That is where Odox came in.
Orbiz Creativez designs and makes personalised gifts, home décor, mementos and corporate gifts in its own studio in Kerala, using UV printing and laser cutting. Products are sold through its Shopify store, an experience centre in Chemmad, and wholesale and business channels.
Key ERP challenges in manufacturing, wholesale and e-commerce
For a business combining manufacturing and wholesale trading, the ERP needs to handle more than basic sales and inventory. Orbiz required a system capable of supporting:
The challenge was to bring these requirements together without creating disconnected processes across the organization.
How Odox customized Odoo to connect core business operations
Odox implemented Odoo 15 Community as the central ERP foundation and customized it around Orbiz’s operational requirements. Rather than treating manufacturing, trading, accounting, compliance, and e-commerce as separate systems, the implementation connects them through a common ERP environment.
The implementation combines standard Odoo capabilities with targeted custom workflows, reporting, and external integrations.
Managing BOMs, production, product substitutions and inventory movements
Manufacturing was one of the most complex areas of the implementation. Odox structured workflows around BOMs, production, inventory movements, product substitutions, replacements, returns, scrap, costing, and internal transfers.
This connects production activities with the inventory and business processes surrounding them, creating a more structured operating environment within Odoo.
Managing GST invoices, tax bifurcation and GSTR reporting
GST requirements were incorporated directly into the ERP environment rather than being treated as a separate reporting activity.
- IGST, CGST and SGST handling
- Tax bifurcation
- GST invoice management and reporting
- Exportable GST data
- GSTR-related reporting
- Customized accounting and tax views
This allows tax-related information to remain connected with the underlying sales and accounting transactions.
Automating E-Way Bill processing through Masters India API
Odox integrated E-Way Bill and E-Invoice processes into the ERP environment. The E-Way Bill workflow uses the Masters India API, reducing the manual effort involved in processing transactions.
Manual, step-by-step processing
- Multiple confirmation steps per transaction
- OTP verification for individual transactions
- Processing handled outside the ERP
Integrated with core ERP operations
- E-Way Bill generated via Masters India API
- E-Invoice connected to the same workflow
- Supports standard and intercompany taxation scenarios
Connecting intercompany transactions, returns and costing
Intercompany operations were a major requirement of the project. Odox developed structured workflows for transactions between interconnected entities.
This allows related business transactions to be managed within the same ERP environment instead of being handled as isolated processes.
Connecting online orders, customers, products and payment information
Orbiz’s e-commerce operations also needed to become part of the centralized ERP ecosystem. Odox integrated Shopify with Odoo to connect key e-commerce information.
The integration reduces duplicate data handling between the e-commerce channel and the ERP, bringing online business activity into the wider operational environment.
Custom workflows, accounting reports, pricing and invoice management
The project required Odoo to adapt to Orbiz Creativez’s specific way of working. Odox developed targeted customizations across areas such as:
These were not standalone additions. They were developed as part of the wider ERP implementation to connect the company’s business processes.
From multiple operational requirements to one connected ERP environment
Multiple operational requirements
Manufacturing, wholesale trading, accounting, compliance, intercompany transactions, and e-commerce each brought their own workflows and dependencies.
Business-specific processes
Standard ERP workflows needed to be adapted to accommodate GST, manufacturing, intercompany, and product-specific requirements.
Disconnected e-commerce operations
Shopify activity needed to connect with the organization’s internal ERP processes.
